We are looking for a solution to securely email sensitive documents to our investors. Would love to hear solutions that have worked for you. We would like to make this as seamless to our investors as possible - i.e. don't want them to have to remember passwords, etc. We have over 400 investors, so need an efficient, yet secure solution. Currently we have been password-protecting each and every PDF that goes out - but that has become a laborious process. Thank you!
Programs to Email Sensitive Documents?
Answers
There are numerous 3rd party email applications to encrypt email, but most I've seen do require another password or clicking links to external validation procedures.
Have you considered a secure portal or FTP site? We use several secure portals to post data and send out a regular email notifying people that data has been posted to the portal. That data is then always on the portal so your investors wouldn't have to always look for the email you sent and they don't have to then save local copies.
Just a thought..
Nick,
I am also looking for secure portal options; can you please give me the benefit of your experience with whichever service providers you use for this service? Thanks.
Our IT director made this suggestion:
MS Exchange Online with EOP (Exchange Online Protection) offers a way to do this.
Thank you for your responses - we have decided to go with ShareFile - cost is relatively inexpensive, and we can set up individual folders for each investor and drop in their files. They will need to login with a password to access the files.
